WHAT IS THE REFUND POLICY?

Only General Registration Packages ($950) are refundable. 

If requested before April 1, a full refund will be processed. 

If requested before April 16, a partial refund of $425 will be processed. 

If requested before May 1, a partial refund of $150 will be processed. 

No refunds will be processed after May 1. 

If a full refund cannot be processed, you may find a substitute to take your place.

HOW DOES A COLLEGIATE CHAPTER REQUEST TO USE RESERVE FUNDS?

1. Determine the number of officers the chapter wants to send and the related cost.

2. Obtain Executive Council approval at the earliest Executive Council Meeting.

3. Complete the request for expenditure form by clicking the link below.

  • Please use a separate form for withdrawals for registration fees and withdrawals for other convention expenses.
  • Please specify the money needed for the following items in your request:
    • Registration Fees (Mark the "Event Registration" box on your form)
    • Travel (flying or driving expense, hotel, parking, etc.) (Mark the deposit to "Operating Account" on your form.)

4. Email the completed form to finance@alphagammadelta.org AND your Finance Specialist.

  • Your Finance Specialist will notify the chapter of the decision unless the Collegiate Finance Committee Chair’s approval is needed. If so, the Collegiate Finance Committee Chair will notify the chapter. 
  • Allow one week for notification of a decision and receipt of funds from International Headquarters.
    • Travel funds will be transferred to the chapter’s Operating account in Billhighway. As a reminder, all ACH transactions are assessed a 1% processing fee by Billhighway.
    • Discount Codes will be provided for Convention registration. You must wait to register until a discount code has been received.

 

HOW DOES A COLLEGIATE CHAPTER FIND ITS RESERVE FUND BALANCE? 

For U.S. chapters with Reserve Funds held at IHQ. 

1. Log into Billhighway. 

2. Navigate to your chapter’s Balance Sheet. 

  • Reports>>Financial Reports>>Balance Sheet 

3. Select the current fiscal year and month and click View Report. 

4. Your IHQ Reserve Fund Balance is account 1060 Cash-IHQ Reserve Fund.  

 

MY CHAPTER DOES NOT HAVE A BILLHIGHWAY PREPAID CARD FOR ME TO USE FOR REGISTRATION, WHAT SHOULD I DO?
